The Documents tab works in the same way as the Documents section on Site and Staff records, in that it simply provides the facility to store a link through to a document which is saved on your network.  Please note that the user will need to have permission to access the location where the document is stored in order to be able to open it.

 

The Emissions tab gives the ability to store emissions data about the vehicle. Engine size, fuel type and CO2 emissions can be recorded here.

 

The Expenses tab enables the retention of specific expenses relating to that particular asset, for example, fuel receipts, along with the ability to store an image. If using the Supplier field, the supplier will need to be set up in Setups > E. Suppliers/Contractrs/Vans.  The minimum information required to record expenses is the date and a description.  The images field in this screen does not work in the same way as documents held in the Documents tab, and once uploaded to CleanLink, the original can be moved / deleted and access to the originally uploaded image will be retained.

 

Expenses can also be reported on by clicking on the Report button at the bottom of the screen, and can be filtered on Asset Type or Code, Date, and Supplier.

 

The Images tab allows you to store further images of the asset.  Note these are stored here as thumbnail images, but can be viewed at a higher resolution by going back to the Details button and clicking on Gallery

 

The Maintenance tab, allows the recording of routine maintenance intervals, contracts and maintenance agreements, as well as Warranty and Insurance details.

 

The Valuation tab allows the recording of the assets value at a specific time.  Records in this screen can be entered manually, or the calculate facility can be used (with the option of a Straight Line, Diminishing Balance or Double Declining calculation type).  If a calculated valuation is entered the system will delete any other calculated values, but will not remove manually entered records.

 

The Notes tab is a simple screen where any further notes can be added if required.
