Creating a Regular Worksheet

If you have regular jobs, but don’t know at this stage who is going to do them, setup a Contractor as say ‘Team A’ and assign this contractor to the job, even though your own staff are going to do the job. You can then print all the jobs due, for example, next week and then give them to the person doing the job.

 

Periodics are a specialised way of handling jobs that need to be done on a more ad hoc basis and require arranging each time.  These can be setup with an interval frequency. An invoice is produced which can be changed when the job has been completed.

 

Please note If a Worksheet cycle is already open/running showing in Green, you cannot place this worksheet into it. You must place it in the next available Blue cycle.

 

To create Regular Worksheet, go to the relevant Client and Site and select Site Info tab. Select the W/S > Worksheet Regular button.

Any Cost for the work that is entered is automatically entered in the site budget under the ‘Analysis Code’ that you have selected.

 

If this worksheet is charged for within your normal invoicing, tick the ‘Regularly Invoiced’ flag. If it is separately chargeable, do not tick this flag.

 

If you are using CleanLink’s mobile facility and you want to send this Worksheet regularly to the inbox of your mobile devices for a manager, tick the ‘Export to Mobile’ flag then enter the mobile device number in the box below.

 

Enter the details of the work to be carried out in the Job Details tab area. Next click on the Work Days tab and select the dates the work is to be carried out or alternatively for flexibility, tick the ‘Any day in period’ flag. If you tick two days in one week one worksheet will be produced for that week. If you choose one day in each week a Worksheet will be produced for each week with a tick in it.

Next click the Tasks tab and enter the task details as necessary.

This allows you to create a list of tasks that need to be completed. These are printed on a special layout which is accessed from the full page worksheets report by ticking the add tasks box. The Worksheet tasks can also be sent to a mobile as part of the Site information - see Maintaining Worksheets. Once the worksheets are completed, if they are returned from a mobile then the results with comments and optional photos are stored against the job. The results can also be entered manually via Worksheets > B. Maintain Worksheets > Returns.
