Setting Email Connectivity

 

Site Manager has been developed with integrated email functionality. This can be configured to work directly with a variety of server-based email gateways. To configure email default settings, right click anywhere within Site Manager and select Email then click the Parameters button.

Enter details of the Outgoing Email Server to be used.

 

Email Address - Enter the email address of the account you wish to send from.

 

Server Name - This is the mail server that the address communicates through, if you do not know this, please check with your email provider.

 

Port - Different providers use different Ports for email communications. 587 is a common one but if you do not know this, please check with your email provider.

 

User Name - Normally the same as the email address but can sometimes be another address for shared accounts. If using Office365 this MUST be the same as the email address.

 

User Password - The password associated with the User Name’s email account.

 

Enable TLS - Emails sent from this address will use TLS 1.3 cryptographic protocol.

 

Disable SSL - Disables the use of the SSL cryptographic protocol if the mail server being used does not support this.

 

Send Delay - Clicking on the Send Delay button will enable you to add a short delay between each email, which can be useful if the server has a limit on the number of emails it can send within a given time, or the response from the email server is slow.  In these cases it can help to add a short delay of (usually) no more than 1 to 2 seconds.  Please note: Adding a delay in here will affect ALL email sources.

 

Click on Salutation to add signature details to the bottom of emails 

 

Default Email Messages

 

It is possible to set default messages to be sent with certain types of email tasks such as payslips, invoices or QC items. This is managed through Setups > AB. General Notes.

Multi-Send Emailing

 

CleanLink Site Manager is equipped to allow you to send one off emails to a variety of recipients including Clients, Sites, Staff and Suppliers. This system is accessed via the right-click menu by selecting Email.
